You didn’t build a business to spend your time trialling all the new AI tools that pop up on LinkedIn, X, and YouTube.

Another week, another “game-changing” platform someone’s raving about. You sign up, poke around for twenty minutes, then it sits there collecting digital dust alongside the last five tools you tried.

Meanwhile, the actual work that grows your business keeps getting pushed to tomorrow.

The Real Cost of Chasing New AI Tools

Here’s the thing. While you’re bouncing between tools, your competitors are locking in results.

Businesses that commit to the right automation are seeing an average ROI of 312% within the first 18 months.

This is the system I use with every business I work with.

It stops you from chasing shiny objects and all these new AI tools and gets you focused on the automations that actually move the needle.

The whole thing can be up and running in under 90 days.

Step 1: Audit Your Time (Before You Touch Any Tool)

Most business owners have no idea where their time actually goes. They think they know. They don’t.

Before you look at a single AI tool, spend one week tracking how you and your team spend your hours. Every task, every interruption, every repeated process.

You’re looking for three things:

The tasks you do more than three times a week

Which tasks follow the same steps every time

Tasks that don’t require your expertise or judgement

These are your automation candidates. Everything else can wait.

Why does this matter?

Because most people skip this step and automate whatever the latest blog post tells them to. Then they wonder why it didn’t save them any time.

You need to automate YOUR bottlenecks, not someone else’s.

Step 2: Pick One High-Impact Process to Automate First

This is where shiny object syndrome dies.

You don’t need ten tools. You need one win.

Look at your audit and find the task that ticks all three boxes:

  1. It eats up the most time
  2. It follows a repeatable process
  3. It doesn’t need a human brain to do it well

Common winners for service-based businesses include:

  • Client onboarding (forms, welcome emails, scheduling)
  • Invoice chasing and payment reminders
  • Lead follow-up sequences
  • Appointment booking and confirmations
  • Internal reporting and data entry

Pick one. Just one. Get it working. Then move to the next.

Step 3: Choose Tools That Talk to Each Other

Here’s where most people go wrong. They pick tools in isolation.

You don’t need the “best” CRM, the “best” email platform, and the “best” scheduling app. You need tools that integrate without you playing middleman.

The simplest approach is to build around what you already use.

If you’re on Google Workspace, build from there.

If you use Xero for accounting, make sure your automation connects to it.

Platforms like Make, Zapier, or n8n let you connect your existing tools so data flows between them automatically. No copying and pasting, no manual updates, no human error.

The key question for every tool is: “Does this plug into what I already have?”

If the answer is no, move on. That’s how you beat shiny object syndrome at the door.

Step 4: Build Simple Workflows (Not Complex Systems)

You don’t need a doctorate in AI to set this up.

The best automations are boring.

A good workflow looks like this:

  1. A trigger happens (a new enquiry comes in, a form gets filled out, a payment is received)
  2. The system does something automatically (sends a welcome email, creates a task, updates a spreadsheet)
  3. You or your team get notified only when you’re actually needed

That’s it. No fancy machine learning.

No chatbots arguing with your customers.

Just simple “if this, then that” logic that saves you hours every single week.

Start with two or three steps per workflow. You can add complexity later once you trust the system.

Step 5: Measure, Refine, Then Scale

Once your first automation is running, give it two weeks. Then ask yourself:

  • How many hours has this saved per week?
  • Has it reduced errors or missed steps?
  • Is my team actually using it (or working around it)?

If it’s working, brilliant. Document it. Then go back to your audit and pick the next highest-impact task.

If it’s not working, tweak it.

Most automations need a small adjustment in the first fortnight. That’s normal. It doesn’t mean automation doesn’t work. It means you’re refining it.

The businesses that get the best results treat this like a rolling programme.

One automation every few weeks. Each one builds on the last. Within 90 days, you’ve got a system that’s saving you 10, 15, maybe 20 hours a week.

And you’ve done it without signing up for a single tool you didn’t need.

Step 6: Set a “Shiny Object” Rule

This is my personal favourite. And it’s dead simple.

Every time a new AI tool catches your eye, ask yourself three questions:

  1. Does this solve a problem I identified in my audit?
  2. Does it integrate with what I already use?
  3. Will it save me more than 2 hours a week?

If it doesn’t pass all three, you don’t even sign up for the free trial. You move on with your day.

Write these three questions on a sticky note. Put it on your monitor. I’m serious. It works.

Shiny object syndrome isn’t a character flaw.

More so when it comes to new AI Tools. It feels like a new one is released every hour.
